Ponce Dental Studio, a fast-growing dental practice, has a strong revenue cycle management team that was on top of its set key performance indicators (KPIs). In the last few quarters, the practice faced a challenge in keeping up with the increasing volume of manual posting in the PMS, while also maintaining timely EFT reconciliation and EOB sourcing. It was adding significant workload on the RCM team, which in turn resulted in more errors and payment posting delays, further impacting patient collections and overall operational efficiency.Ponce’s RCM Team and Leadership sought a systematic solution that would help them support their growth in a scalable and reliable manner. They needed a solution that maintains the required accuracy in payment posting in PMS while also sustaining timely payment posting. Cost efficiency was another critical factor, so adding additional payment posting specialists to the team was not an option. The team realized they had to explore software-driven automation solutions as a way to drive the right level of productivity, which would allow them to commit to continued outstanding patient-centered care.

Solution

Ponce Dental Studio partnered with Zentist to bring Remit AI’s Posting Automation capabilities that are seamlessly integrated with Open Dental API. This new integration function of Remit AI significantly reduces the actual manual effort spent by the RCM Team on payment posting.

Results

In just 30 days since implementing Remit AI’s Posting Automation feature, Ponce Dental Studio achieved substantial automation and efficiency outcomes:

How Posting Automation by Remit AI Works

Remit AI uses Open Dental’s API program to automatically match bank-cleared payment data (both EOB & ERA) with a corresponding open claim and posts the payment at the claim line item level without any manual intervention. 

For claims that are paid as expected against fees in the PMS, the system posts the payment and closes the claim automatically in one single step. Whereas, for claims that are paid less or more than expected, or with particular adjustments, or with legitimate denials, the Remit AI’s Posting Automation feature posts the payment automatically. It then creates a flag for the user to review and finalize the adjustment step, if any.
